Position overview:
We are seeking a motivated and detail-oriented inbox manager/office manager to join our fulfilment team. In this role, you will be responsible for managing inbound leads for our clients, overseeing inbox management, and setting appointments with sales representatives. Your main focus will be on communicating with potential clients via email and phone, ensuring timely responses and efficient scheduling.
Key responsibilities:
Email management and appointment scheduling:
- Email communication:
- Manage multiple client campaigns by monitoring inbound leads and inquiries.
- Promptly respond to leads, providing information, answering questions, and scheduling meetings with the sales team.
- Follow up with leads in the pipeline who have shown interest but have stopped responding.
- Appointment setting:
- Schedule appointments with inbound leads using tools like Calendly, HubSpot, Go High Level, or Pipedrive.
- Coordinate with clients to ensure seamless scheduling and communication.
- Phone communication:
- Calling leads:
- Call inbound leads to gather information and book appointments.
- Follow up on leads who have stopped responding to emails, using phone calls to re-engage them.

- CRM updates:
- Update CRM software with lead information and conversation notes.
- Maintain accurate and up-to-date reports and trackers for client campaigns.
- Software proficiency:
- Learn and utilise various CRM tools and software efficiently.
- Be willing to adapt to new technologies and tools as needed.
Experience:
- Minimum one year of experience in appointment setting, sales, or inbox management.
- Experience working in an office 08:30-17:00 Monday-Friday.
- Excellent communication skills, both written and verbal, with fluency in English.
- Tech-savvy with the ability to learn and master new software tools quickly.
- Detail-oriented and highly organised, with a strong ability to manage multiple tasks simultaneously.
- Self-sufficient, with the ability to take initiative and solve problems independently.
- Strong research and data management skills, with the ability to follow SOPs and take on constructive feedback.
- Passionate about marketing, sales, and business growth.
