Job title: Bookkeeper – Trial Balance

Report to: Finance Manager

Job summary:

The Bookkeeper will be responsible for maintaining accurate financial records, performing reconciliations, and ensuring that the company's financial data is up-to-date. They will manage the day-to-day bookkeeping tasks, including preparing the trial balance, and assist with financial reporting.

Key responsibilities:

Record-keeping:
  • Maintain and update the general ledger by recording daily financial transactions.
  • Ensure all financial data is accurately captured in the accounting system.
Reconciliations:
  • Perform monthly bank reconciliations to ensure accuracy of financial records.
  • Reconcile accounts payable and receivable to ensure correct payment and receipt of funds.
  • Reconcile all balance sheet accounts regularly, including debtors, creditors, and inventory.
Trial balance preparation:
  • Prepare the trial balance to ensure that all accounts are balanced and ready for financial reporting.
  • Assist in the preparation of financial statements, including income statements, balance sheets, and cash flow statements.
Invoicing and payments:
  • Generate and issue invoices to clients.
  • Process payments to suppliers and manage accounts payable.
  • Follow up on outstanding invoices and manage accounts receivable.
Financial reporting:
  • Assist in preparing monthly, quarterly, and annual financial reports.
  • Provide financial information and analysis to management as required.
Tax compliance:
  • Assist in the preparation and submission of VAT, PAYE, and other tax returns.
  • Ensure compliance with all tax regulations and deadlines.
Budgeting and forecasting:
  • Assist in the preparation of budgets and financial forecasts.
  • Monitor budget variances and report on discrepancies.
Audit support:
  • Prepare documents and records for internal and external audits.
  • Assist auditors with any queries during the audit process.
General administrative duties:
  • Manage and maintain financial files and records.
  • Assist with other administrative tasks as required by the finance department.

Qualifications and experience:
  • Education: Diploma or degree in accounting, finance, or a related field.
  • Experience: Minimum of 3-5 years of experience in bookkeeping, with a strong focus on reconciliations and trial balance preparation.
Technical skills:
  • Proficiency in accounting software (e.g., Pastel, QuickBooks, Xero).
  • Strong Excel skills.
 Knowledge:
  • Understanding of accounting principles and practices.
  • Knowledge of South African tax regulations.
Key competencies:
  • Attention to Detail: Accuracy in financial data entry and record-keeping.
  • Analytical Skills: Ability to analyse financial data and identify discrepancies.
  • Organisational Skills: Ability to manage multiple tasks and meet deadlines.
  • Communication Skills: Strong written and verbal communication skills.
  • Integrity: High level of professionalism and ethical standards.
