      Medical Stock Controller / Admin Assistant

      The stock controller/admin assistant will be responsible for managing stock levels, ensuring efficient ordering and tracking of medical and aesthetic products, and providing administrative support to the practice. This role requires strong attention to detail, excellent organisational skills, and the ability to work in a fast-paced environment while maintaining high standards of patient care and confidentiality.

      Key responsibilities

      Stock control and inventory management
      • Monitor and manage stock levels of aesthetic and medical products, consumables, and equipment.
      • Place orders with suppliers, track deliveries, and ensure timely stock replenishment.
      • Conduct regular stock takes and audits to prevent shortages or excess inventory.
      • Maintain accurate stock records and update the inventory management system.
      • Ensure proper storage and handling of all stock, including temperature-sensitive products.
      • Process stock returns and manage expired or damaged stock according to practice policies.
      • Negotiate pricing and terms with suppliers to optimise cost efficiency.
      Administrative support
      • Assist in scheduling appointments and coordinating patient bookings.
      • Maintain accurate patient records, invoices, and supplier documents.
      • Process payments and assist with billing queries.
      • Handle reception duties, including welcoming clients and answering calls.
      • Prepare stock and equipment for treatments, ensuring all items are ready for use.
      • Assist with compliance and regulatory documentation related to stock and practice operations.
      • Support the team with day-to-day administrative and operational tasks.
      Key requirements

      Qualifications and experience
      • Matric certificate (essential); additional administrative or stock control qualifications are advantageous.
      • Previous experience in stock control, inventory management, or administration (preferably in a medical or aesthetic environment).
      • Knowledge of medical or aesthetic products is an advantage.
      Skills and competencies
      • Strong attention to detail and accuracy in stock management.
      • Excellent organisational and multitasking abilities.
      • Strong administrative and data entry skills.
      • Good communication and interpersonal skills.
      • Ability to work independently and as part of a team.
      • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and stock management software.
