Personal Assistant

Requirements
  • Diploma / NQF level 6 in Office Administration or relevant qualification
  • 3-5 years experience as an executive assistant
  • Experience working with finance departments, particularly in handling Purchase Orders (POs).
  • Should be proficient in the MS Office Suite, especially Outlook, as the role involves supporting the Head of HR with diary management.
  • Must have experience in making travel arrangements.
  • Must be comfortable taking minutes and preparing Word, PowerPoint, and Excel documents.
Responsibilities
  • Create and manage the calendar for the financial year.
  • Schedule meetings in all relevant stakeholders' diaries and coordinate the logistics of the meetings, including catering, travel arrangements, accommodation etc.
  • Assist line manager with the management of their diary and availability to attend meeting
  • Manage routine office tasks such as administration, filing, invoicing, stationery and other day-to-day support services
  • Escalate urgent matters to relevant stakeholders and follow-up to provide feedback to line manager
  • Ensure that all clients are treated professionally and with courtesy
